Title of role: Head of HR & Operations

Contract Type: 3 Years dependent on funding for the role. To commence in November 2024

Hours & SALARY: 3 days per week (22.5 hours) £18,000

LOCATION: Hastings with travel to Rother and Wealden areas.

REPORTS TO: CEO

BENEFITS:

  • Holiday: 20 days additional to bank holidays (pro-rated for part time), rising with service to max of 30 days

Overall purpose of role:

This is a key new part-time management role (3 days per week) in our professional and collaborative team.

The Head of HR & Operations is required to develop and implement The Refugee Buddy Projects operational strategy and plans and to build the longer-term sustainability of our organisation.

This is a crucial role in developing the organisation’s core infrastructures and ensuring our organisational values are embedded across the organisation and its work. As Head of Operations & HR, you will work closely with the CEO and oversee all aspects of The Refugee Buddy Projects operations ensuring the effective administration, maintenance, and development of the organisation’s resources and systems of work, including infrastructures for service delivery, human resources, financial management, compliance, and office management. You will have many opportunities to share your experiences and learnings to drive the development of the organisation.

Key responsibilities:

Staff Supervision

  • Day-to-day management of staff

  • Keep accurate HR records

  • Deal with any staff issues including performance or misconduct

Volunteer management –Work with the relevant team remembers to:

  • Oversee recruitment and clearing of volunteers

  • Oversee matching and ongoing buddying relationships

  • Establish policies and procedures for the effective management of volunteers

  • Oversee the recruitment and selection of volunteers

  • Development and delivery of an induction programme for volunteers

  • Development and delivery of the necessary training for volunteers

  • Day to day management for example drawing up rotas, processing expenses forms etc

  • Ongoing support and supervision of volunteers

  • Development and marketing of new volunteering opportunities as appropriate

  • The strategic planning, development and promotion of the organisation’s volunteer programme

  • The monitoring and evaluation of volunteer’s activities and volunteer management systems

  • Developing and promoting the value of volunteering in the rest of the organisation

  • Oversee the Management of relationships between volunteers and the rest of the organisation

Programme Management

  • Oversee all project/programme delivery

  • Ensure all reporting requirements are met across the different programmes

  • Develop and maintain relationships with other programme partners

Policies and Procedures

  • Ensure all policies are kept up to date and approved by the Board of Trustees

  • Ensure compliance among staff and volunteers of organisational policies and procedures

Board of Trustees

  • Financial Monitoring (with Finance Manager & CEO)

  • Work with the CEO to ensure accurate reporting to the Board of Trustees

  • Contribute to the Annual Reporting to the Charities Commission

  • Oversee quarterly audits on all charity finances & produce reports for the Board

  • Work with the CEO & Finance Manager to produce budget projections for CEO and Board of Trustees

  • Assist CEO with project bids by providing financial models

Other responsibilities

  • Contribute to the ongoing development and strategic progress of the organisation

  • Represent the Project at meetings of sector organisations as required

  • Manage IT systems, software and equipment across the organisation

  • ·Other duties as required by the organisation

  • Due to the nature of the role, evening and weekend work will be required.

    Time off in lieu (TOIL) will be given for hours worked above contracted hours.

Skills & Capabilities (Essential):

  • Demonstrated skills for project and event management

  • Demonstrated ability to build and maintain effective relationships with various stakeholders

  • Strong alignment with our vision and a commitment to building a refugee & migrant led service.

Skills & Experience (Desirable)

  • Experience running trainings, information sessions and/ or volunteer meetings

  • Strong communication skills and experience motivating people to take online and offline action through email and social media.

  • A marketing/events management & promotions background · Proven work experience as an HR Operations Manager, or similar role

  • Good knowledge of employment law

  • Hands-on experience with Human Resources Information Systems

  • Ability to develop clear and fair organisational poicies

  • Excellent analytical and decision-making abilities

  • Team management skills

Other Requirements:

  • To comply with the policies and procedures of the Project, including but not limited to GPDR, Safeguarding and Equality and Diversity.

  • The ideal candidate must be a keen supporter of refugee and migrant rights, and show commitment and resilience.

  • Candidates must have a good knowledge of the area they will be working in.

  • You will need to be free from any criminal conviction which would conflict with the
    responsibilities of the post; you will be required to undergo a standard DBS.

  • To be able to deal with all information on a confidential basis and
    understand data protection requirements.
