tITLE OF ROLE: Volunteer Coordinator & Supervisor (based ATTHE Dove Cafe)
Contract Type: Fixed term to September 2026, with possibility of further extension. To commence in November 2024.
Hours & SALARY: 3 days per week (22.5 hours) £18,000
LOCATION: Based at The Dove Café, 19 Bexhill Road, West St Leonards
Reports to: Head of HR & Operations
Benefits:
Holiday: 20 days additional to bank holidays (pro-rated for part time), rising with service to max of 30 days
Pension: 5% salary sacrifice met by a 3% contribution from The Refugee Buddy Project
Overall purpose of role:
You will be one of x2 part time Buddy Coordinators/Supervisors who will oversee the day-to-day operations at The Dove Café.
You will create and support a learning and welcoming environment.
The Dove Café offers project participants from the communities we work with, volunteering opportunities and a supported learning environment for a bank of trained sessional learners. T
he Dove Café will provide affordable and quality offerings for the local community and groups using the venue. You will deliver an agreed menu.
Ensure both front of house and the kitchen are always fully stocked up in order to ensure the smooth running of the Dove Café.
Working with the volunteers and sessional learners, you will establish and develop a series of refugee/migrant led initiatives to build awareness and contribute to positive well-being within the community; both through & the café, the gallery, along with running extra training, courses, projects and developing partnerships with local services.
You will develop and maintain systems to hire out the Dove Café and bring in much needed funds for the project. Ordering and administrative support, key-holding assistance and supervision of volunteers.
You will organise catering events, take the Dove Café to Festivals and represent at partnership meetings.
Due to the nature of the role, evening and weekend work will be required. Time off in lieu (TOIL) will be given for hours worked above contracted hours.
Key responsibilities:
DAILY MANAGEMENT OF THE CAFE
Volunteers and Sessional Learners :
Co-ordinate cafe volunteers & Sessional Learners to ensure that the cafe is adequately staffed
Manage training, supervision and support to cafe volunteers and sessional learners
Manage a weekly rota of volunteers and sessional learners
Register volunteers and sessional learners including personalized learning plans and agrements
Support with ongoing learning and maintaining a learning log
Ensure cafe volunteers are working to the volunteer and learning agreements
Customer Service:
Ensure volunteers and sessional learners provide a professional level of customer service, delivered by all, at all time
Ensure all front of house and kitchen duties are carried out in a professional manner and meet all Café and kitchen regulations
Develop and manage relationships with customers, volunteers and suppliers.
Deal with customer queries in a courteous and timely fashion.
Health and Safety:
Adhere fully to CookSafe guidelines using HACCP (Hazard Analysis and Critical Control Points) based procedures according to most recent government regulations.
Implement, update and manage CookSafe guidelines for Dove Cafe in line with existing policies ensuring healthy and safe preparation, storage, cooking and serving of food and drink from the café.
Food Management:
Organise and manage the purchasing of café supplies to enable the cafe to meet the needs of its customers by:
Undertaking weekly stock-takes
Providing weekly sales and purchasing figures to the Project Administrator
Putting a supply system in place to ensure stock control and efficient stock management
Other:
Other duties as required by the organisation
Skills & Capabilities (Essential):
Demonstrated talent for project and event management
Demonstrated ability to build and maintain effective relationships with various stakeholders
Strong alignment with our vision and a commitment to building a refugee & migrant led service.
Skills & Experience (Desirable):
Experience running trainings, information sessions and/ or volunteer meetings
Strong communication skills and experience motivating people
A marketing/events management & promotions background
Other Requirements:
To comply with the policies and procedures of the Project, including but not limited to GPDR, Safeguarding and Equality and Diversity.
The ideal candidate must be a keen supporter of refugee and migrant rights, and show commitment and resilience.
Candidates must have a good knowledge of the area they will be working in.
You will need to be free from any criminal conviction which would conflict with the
responsibilities of the post; you will be required to undergo a standard DBS.To be able to deal with all information on a confidential basis and
understand data protection requirements.
Training:
To be provided by the Project in the first month of the role, and on an ongoing basis where required.
